1. Scope
This Refund, Billing & Cancellation Policy explains how Wesend handles subscriptions, trials, renewals, cancellations and refunds for the Service. It should be read together with the Wesend Terms of Service, Privacy Policy and any plan-specific pricing or order form shown to you at sign-up or renewal.
This policy applies to purchases made through wesend.chat unless a separate signed order form or enterprise agreement states different billing or refund terms for a specific customer or plan.
For software subscriptions and digital services, Wesend uses the term “refund” rather than “return”. No physical goods are sold under this policy unless Wesend expressly states otherwise.
2. Plans, billing and renewals
Plan prices, billing intervals, included features, usage limits, taxes and any applicable trial terms are shown on the pricing page, checkout page, account billing area or an agreed order form.
Unless explicitly stated otherwise, subscriptions renew automatically for the same billing cycle until cancelled.
By starting a paid subscription or allowing a trial to convert, you authorise Wesend and its payment processors to charge the payment method you selected for the recurring subscription price, plus any applicable taxes, on each renewal date.
Wesend currently uses Stripe for payment processing and may add or change payment providers over time.
3. Free trials and trial conversion
If Wesend offers a free or discounted trial, the pricing page, checkout and account billing area will state the trial length, the date or time of the first paid charge, the recurring price after the trial, and how to cancel before renewal.
If you cancel before the trial converts into a paid subscription, you will not be charged the first recurring subscription fee.
If you do not cancel before the stated trial end date or time, the trial will convert automatically into a paid subscription at the price and billing interval shown to you at checkout or in your account.
4. How to cancel
You can cancel your subscription by using one of the cancellation routes Wesend makes available for your plan, which may include:
- the billing page inside your Wesend account;
- the relevant customer billing portal; or
- contacting Wesend support at [email protected].
Cancellation stops future renewals. Unless the law requires a different outcome or Wesend expressly states otherwise, cancellation does not normally end the current paid billing period early and does not normally create a pro-rata refund for the unused part of that period.
If you cancel during a free trial, access may end immediately or at the end of the trial period, depending on what was shown to you when you started the trial.
If you are a consumer and the law gives you an additional or easier cancellation route, Wesend will provide it.
5. What happens after cancellation
When your cancellation takes effect, your subscription will not renew again. Paid features may remain available until the end of the current paid period unless Wesend states otherwise for that plan or the law requires otherwise.
After cancellation or expiry, access to premium features may end immediately or at the end of the current period, and your account may be downgraded to a free tier, restricted or closed depending on the product setup.
Data retention, export and deletion after cancellation are governed by the Wesend Terms of Service, Privacy Policy, DPA where relevant, and any account-level settings or instructions.
6. Refund policy
Except where mandatory law provides otherwise, or where Wesend expressly agrees otherwise in writing, subscription fees paid for an active billing period are generally non-refundable once that billing period has started.
A refund may be available in the following situations:
- you cancelled during a trial before the first paid charge but were charged in error;
- you were charged more than once for the same subscription period due to a billing error;
- Wesend agrees to a refund, credit or goodwill adjustment at its discretion;
- mandatory consumer law gives you a refund, price reduction or similar remedy; or
- the Service was not supplied with reasonable care and skill, or digital content was not as described, and the law gives you a refund or price reduction.
If a refund is approved, Wesend will normally send it back to the original payment method unless another lawful and practical method is agreed.
7. Consumer cancellation rights and immediate access
If you are a consumer buying at a distance, you may have statutory cancellation rights under the law that applies to you, including rights relating to digital services and digital content.
For UK and EU/EEA consumers, distance-selling rules may provide a 14-day cancellation period in some circumstances. The availability and scope of those rights depend on applicable law and the nature of the digital service provided. Nothing in this policy limits any mandatory consumer rights.
For US consumers, state-specific cancellation and auto-renewal rights apply and you may cancel at any time through your account dashboard.
Nothing in this policy limits any statutory rights that cannot lawfully be excluded.
8. Price changes, taxes and failed payments
Prices may exclude taxes unless stated otherwise. VAT, sales tax, GST or similar taxes may be added where required by law.
For cross-border digital sales, tax may be calculated based on the customer’s location and the applicable local rules.
If Wesend changes a recurring subscription price, Wesend will give the notice required by applicable law. Where the law requires it, you will be able to cancel before the new price takes effect.
If a payment fails, Wesend may retry the charge, suspend premium features, downgrade the account, or terminate the subscription after any notice required by law.
9. How to request billing help or a refund review
If you think you were charged incorrectly or want Wesend to review a refund request, contact Wesend at [email protected] as soon as possible and include:
- the email address on your account;
- the date and amount of the charge;
- the last 4 digits of the payment method where available; and
- a short explanation of the issue.
Submitting a refund request does not guarantee a refund. Wesend will review the request in good faith, together with the plan terms, account history and any legal rights that apply.
10. Statutory rights
Nothing in this policy removes or reduces any rights you may have under mandatory consumer law, including rights relating to services not carried out with reasonable care and skill, or digital content that is not as described, not fit for purpose where required by law, or supplied without the necessary rights.
